A video intercom is only worth having if you can see the face

Most lobby cameras fail at the one moment they matter. In daylight the visitor is a silhouette against the glass; at night the nearest face is a white blur. Both are lens and lighting decisions made at install, and both are fixable.

The imaging problem

Why the picture from your door station is unusable

Three failure modes account for nearly every bad entrance image in this city, and none of them are solved by buying a higher megapixel count.

The backlit doorway. A camera facing a glass entrance in daylight is metering for the bright street behind the visitor, so the visitor renders as a black outline. The fix is true wide dynamic range (hardware WDR that captures multiple exposures and fuses them), not the digital WDR or backlight compensation that most spec sheets quietly mean. Digital WDR helps with moderate contrast. It does not help with a south-facing glass door at two in the afternoon.

Infrared through glass. IR does not pass usefully through glazing; it reflects off the inside surface and returns a flat white sheet. Every vestibule camera aimed through a glass door with its illuminator on produces exactly that. The correct answer at a glass entry is external white light plus WDR, with the IR disabled, and it is a decision made at the survey, because it usually means adding a fixture.

Night wash-out. The face closest to the camera goes pure white. Causes, in the order we find them: a dirty dome or front cover; a dome bubble that is not seated on its foam gasket, so IR leaks straight into the lens; a non-manufacturer bracket or housing that traps IR inside the enclosure; an extreme mounting angle where the illuminator reflects off the camera’s own body; a white wall or ceiling inside the IR cone bouncing light back. Keeping tilt under about 70° and yaw under about 50°, and enabling the camera’s Smart IR to throttle output at close range, removes most of it.

There is a fourth, quieter problem: motion blur. At night a camera lengthens its exposure to gather light and a person walking through the frame smears into an unidentifiable streak. Capping maximum shutter time and maximum gain (and using noise reduction sparingly so facial texture survives) is what turns a recording into an identification.

What we actually specify at the door

These are the line items that decide whether the footage is evidence or decoration.

  • True multi-exposure WDR at any entrance facing glass, a street or a loading bay. If a datasheet says WDR without saying how many exposures, assume it is digital and ask.
  • White light, not IR, at glass entries. Where IR is appropriate (an interior vestibule, a rear yard door), 850 nm gives the best range per watt with a faint visible red glow at the LEDs, while 940 nm is fully covert and buys that with shorter reach and more power draw.
  • Mounting height set to catch a face, then checked against reach. Entry panels are commonly set with the screen center in the 42 to 48 inch band, because the 2010 ADA Standards cap unobstructed side reach at 48 inches. A camera at that height sees faces; a camera at 60 inches sees the tops of heads and hats.
  • A lens angle chosen deliberately. A 156° or 180° lens covers the whole vestibule and puts the face at the distorted edge of the frame. Wider is not better at a door. It is better for context and worse for identification, and you should know which one you are buying.
  • Shutter and gain caps, set on site at night. Not at the bench, and not at two in the afternoon. Night settings are made in the dark by somebody standing in the frame.
  • PoE budget checked before the panel is ordered. 802.3af provides 15.4 W at the switch and 12.95 W at the device. A large touchscreen with an integrated heater and illuminator exceeds that and needs PoE+ or a local supply. This is why some new panels reboot on the first cold night and behave perfectly in October.
  • A UPS in the closet and, where it matters, battery at the door. A video intercom that dies with the building’s power is a video intercom that is absent for exactly the event you bought it for.
  • The dome or front cover on a cleaning schedule. Dirt on the cover is the single most common cause of night wash-out. It costs nothing to fix and nobody ever does it.
Recording

What the panel keeps, and the audio question nobody asks

Modern IP door stations are ONVIF and RTSP sources, which means the panel camera can be pulled into the building’s video system as another channel, with call events used as bookmarks so a manager can jump straight to the moment somebody was buzzed in. SIP-native panels can register to a PBX or a platform so one call rings a guard station, a desk phone and a mobile app at the same time. Cloud platforms keep their own event history and typically capture a still image on each call.

The part that gets skipped in every sales conversation is audio. New York is a one-party consent state for recording a conversation you are part of. An unattended microphone at a lobby panel, quietly recording conversations between people who are not talking to you, is a different thing entirely: eavesdropping under New York Penal Law §250.05 is a class E felony, and “the intercom vendor turned it on by default” is not a defense anybody wants to test.

So our default is video without continuous audio recording at multi-tenant entrances. Live two-way audio during a call is the entire point of an intercom and is not the issue; the issue is a panel left recording the vestibule at three in the morning. Where a building has a considered reason to record audio, that becomes a written decision with signage and a retention rule, made by the board or owner with their own counsel, not a checkbox we tick during commissioning.

Retention deserves the same honesty. Ask what the platform actually keeps, for how long, and at what quality, before the vote. Free tiers on some hardware are capped at a few dozen motion events; paid tiers run a week or so of high-definition footage. A building that assumes thirty days and discovers it had five has bought a system it did not want.

Ranges we see, not quotes. The single biggest variable is whether video rides the riser you already have.

Typical ranges only, subject to survey. Cloud platforms add an ongoing per-unit software fee, commonly around $4.50 to $7 per unit per month across the products we see. Where an entrance needs a new light fixture to make WDR work, that is a small line item that pays for itself the first time somebody needs the footage.

Ask these five questions in writing before the board votes

Any cloud or wireless entry system should answer all of these on paper, from the vendor, before a contract is signed: What happens during an internet outage? During a Wi-Fi outage? During a cellular outage? During a power outage? And what exactly are the documented offline rules: can residents still be buzzed in, do cached credentials still work, and for how long?

Reputable systems cache locally and keep operating on the last known list, but new credentials, revocations and remote unlock stop. That is an acceptable answer. “It doesn’t really go down” is not. We put the answers in the scope document alongside the hardware list, because the day the building finds out is otherwise the day it matters.

FAQ

Common questions

Can we get video without running new cable to every apartment?

Usually. Two-wire digital bus platforms carry video, audio, power and control down a single pair, which is exactly why they dominate retrofit work in this city. Where the riser passes a proper ring-out, you can have a video door station and in-unit monitors or app access with nothing opened but the panel box.

Where it does not pass, the alternative that avoids a riser pull is a cloud panel with no in-unit hardware at all: one panel, one network drop, and video delivered to residents’ phones. That trades a capital cost for a permanent per-unit fee, and the right answer depends on how long the building intends to own the problem.

Why does our lobby camera show a black silhouette in the daytime?

Because the camera is metering for the bright scene behind the visitor. A person standing in front of a glass entrance at midday is backlit by several stops, and a camera without true wide dynamic range cannot hold both the street and the face in one exposure.

True WDR captures multiple exposures at different settings and fuses them, which is a hardware capability. Digital WDR and backlight compensation are software approximations that help with moderate contrast and fail completely on a glass door in direct sun. If the existing panel has only digital WDR, the practical fixes are repositioning the camera so the glass is not directly behind the subject, adding front fill light, or replacing the door station with one that has real WDR.

Why is the night image completely white when someone stands close?

The illuminator is being reflected back into the lens. In the order we find it: the dome or front cover is dirty, which is the most common cause by a distance; the dome bubble is not seated properly on its foam gasket, letting IR leak internally; a non-manufacturer bracket or housing is trapping IR inside the enclosure; the camera is tilted or yawed far enough that the illuminator bounces off its own body; or a white wall inside the IR cone is throwing the light back.

Fixes are cheap and mostly not hardware: clean the cover, re-seat the gasket, bring tilt under about 70° and yaw under about 50°, enable Smart IR so the LEDs throttle at close range, and where the entrance is glass, turn IR off entirely and light the area with white light instead.

Do residents need an app, or can we keep monitors in the apartments?

Both work, and mixing them is normal. In-unit monitors are hardware the building owns and controls: they work without a resident’s phone, without push notifications and without anyone downloading anything, and they age at a predictable rate. An app costs nothing per unit in hardware, follows the resident when they are not home, and makes turnover a directory edit.

The practical answer in most buildings is monitors where residents want them and app access for everyone who prefers it, on a platform that supports both. What we push back on is app-only in a building where nobody has surveyed how many households will actually install it, because the units that do not are the units that will prop the front door.

Does the video intercom record audio, and should it?

Many can. Our default is that it does not, outside of the live call itself. New York is a one-party consent state for conversations you are part of, but an unattended microphone capturing conversations between other people in a lobby is a different legal question: eavesdropping under New York Penal Law §250.05 is a class E felony, and a lobby panel left recording all night is exactly the fact pattern that raises it.

Video recording at an entrance is ordinary and expected. Continuous audio recording of a common area is a decision for the owner or board with their own counsel, with signage and a retention policy, and it should be a deliberate written choice rather than a default we left enabled.

How long is the footage kept?

It depends entirely on the platform and the tier, and this is worth pinning down before you buy. Some hardware ships with a free cloud tier capped at a few dozen motion events; paid tiers commonly run around a week of high-definition footage. A panel integrated into a building video recorder inherits that recorder’s retention instead, which is usually far longer.

We put the real figure in the scope document, in days, at the resolution and frame rate you are actually going to run, not the headline number from the box. A building that plans on thirty days and discovers it had five has effectively bought nothing.

Will the video intercom work if the internet goes down?

A wired system (analog bus, two-wire digital or local IP) keeps working, because the call never leaves the building. Residents at in-unit monitors answer the door exactly as before. That is the strongest argument for keeping hardware in the apartments.

A cloud, app-based system depends on the internet by design. Reputable platforms cache locally so existing credentials and codes keep opening the door, but calls to residents’ phones, remote unlock and any credential change stop until service returns. Get that behavior in writing from the vendor, put a UPS on the network closet, and make sure the building has a documented mechanical way in while it is down.
